Calisthenics Queensland No Refunds Policy

All payments made to Calisthenics Queensland are final and non-refundable.This includes, but is not limited to, fees for memberships, event registrations, courses, and merchandise purchases.

Exceptions may only be considered in extenuating circumstances at the sole discretion of Calisthenics Queensland. In such cases, any approved refund may be subject to an administrative fee.

By completing your registration, you acknowledge and agree to this No Refunds Policy.

Calisthenics Queensland Upgraded Memberships

Once a membership is upgraded, payment must be made within 72 hours of the invoice being issued.

Failure to make payment within this timeframe will result in the member being classified as unregistered. Unregistered members are not covered under Calisthenics Queensland’s insurance policy in the event of an incident.

Terms of Registration 2026

PURPOSE AND INTENT

This Terms and Conditions Policy outlines the expectations, commitments, and responsibilities of members, participants, parents, guardians, coaches, volunteers, and officials of Calisthenics Buderim Inc.

The policy supports transparency, fairness, and consistency, and ensures compliance with the Child Safe Organisations Act 2024, the Queensland Family and Child Commission (QFCC) Child Safe Standards, and relevant sporting and governance frameworks.

SCOPE AND TARGET AUDIENCE

This policy applies to all individuals involved with Calisthenics Buderim Inc, including:

• Registered participants
• Parents and guardians
• Coaches, assistants, cadets, volunteers, and officials
• Committee members

It covers membership, participation, conduct, communication, safety, and club engagement.

POLICY STATEMENT

Calisthenics Buderim Inc is a community-based, not-for-profit organisation committed to providing a safe, inclusive, respectful, and supportive environment where children and young people can participate and thrive.

By registering with the club, members and families agree to:

• Uphold club values of respect, teamwork, fairness, and accountability
• Comply with all club policies, procedures, and Codes of Conduct
• Support a positive and child-safe culture in all interactions

CULTURAL SAFETY AND THE UNIVERSAL PRINCIPLE

Calisthenics Buderim Inc recognises Aboriginal and Torres Strait Islander peoples as the Traditional Custodians of the lands on which we operate.

The club is committed to creating culturally safe environments where Aboriginal and Torres Strait Islander children, families, and community members feel respected, welcomed, and valued.

This commitment is reflected through:

• Acknowledgement of Country at events and in communications
• Respectful representation in imagery, language, and practices
• Opportunities for staff and volunteers to develop cultural awareness
• Engagement with local community knowledge where appropriate

CONDITIONS OF MEMBERSHIP

• Members must comply with all club policies and the rules of relevant governing bodies, including Calisthenics Queensland (CQ) and the Australian Calisthenic Federation (ACF).
• Membership is confirmed only once registration fees are paid in full.
• Members must keep all fees up to date to remain eligible for training, competitions, and performances.
• Families experiencing financial hardship are encouraged to contact the Treasurer to discuss confidential payment arrangements.

TRAINING, TEAM SELECTION AND ATTENDANCE

Calisthenics is a team-based sport; consistent attendance is essential for safety, team cohesion, and performance quality:

• Members must notify their coach or team manager as early as possible if unable to attend training or competitions.
• Ongoing or excessive absences may affect team placement, item inclusion, or participation.
• Coaching decisions regarding training, team selection, item inclusion, and stage placement are made in the best interests of the team and individual dancers.
• Members must comply with the team selection policy. Selection decisions are final and are guided by skill development, readiness, safety, and wellbeing.

BEHAVIOUR, COMMUNICATION AND CONDUCT

• All members, families, and visitors must treat others with respect and courtesy
• Bullying, harassment, gossip, intimidation, or negative comparison between participants is not tolerated
• Members must comply with the Child Safety and Wellbeing Policy, Codes of Conduct, and Communication and Technology Policy
• Social media or online content must not be harmful, derogatory, or damaging to individuals or the reputation of the club
• Concerns or disagreements must be raised respectfully through appropriate club channels

CHILD SAFETY, WELLBEING AND COMPLAINTS

• The safety and wellbeing of children and young people is the club’s highest priority
• All members are expected to uphold child-safe behaviours and boundaries
• Children and families are encouraged to speak up if they feel unsafe, uncomfortable, or concerned
• Concerns or complaints must be raised in line with the club’s Complaints and Child Safety Reporting Procedures and policies.
• No person will be disadvantaged for raising a genuine concern

MEDIA, PRIVACY AND INFORMATION USE

• Personal information is collected and managed in accordance with the club’s Privacy Policy and the Information Privacy Act 2009 (QLD)
• Photographs and video footage may be used for club communication, promotion, or records where consent has been provided at registration - please refer to the Media Consent Information Document attached.
• Members must not post or share training or competition footage without prior approval from coaches or the club

VOLUNTEERING AND FUNDRAISING

• As a not-for-profit organisation, the club relies on the shared support of families through volunteering and fundraising
• Families are expected to assist at events, competitions, or activities in accordance with the Family Volunteer Levy Policy
• Volunteer roles will be appropriate to the task and aligned with child-safe practices

MEDICAL, HEALTH AND SAFTEY

• Parents and guardians authorise club officials to seek emergency medical treatment for their child if required
• Any medical expenses incurred remain the responsibility of the parent or guardian
• Families must disclose relevant medical, health, or support needs to ensure the child’s safety
• Members must follow all safety instructions provided by coaches and officials during training, rehearsals, and performances

ACKNOWLEDGEMENT

By registering with Calisthenics Buderim Inc, members and families acknowledge that they have read, understood, and agree to comply with this Terms and Conditions Policy and all related club policies and procedures.

Failure to comply with these conditions may result in review of membership or participation.
