WTC Complaints & Concerns Procedure

At WTC, we are committed to providing a safe, welcoming, and inclusive environment where everyone can enjoy the sport of athletics. Every athlete, parent, coach, official, volunteer, and member has the right to feel respected and supported.

If something doesn't feel right, we encourage you to speak up. Raising a concern early helps us address issues before they become more serious.

When to Raise a Concern

Please let us know if you experience, witness, or become aware of:

  • Bullying.

  • Harassment or discrimination.

  • Safety concerns or unsafe behaviour.

  • Behaviour that makes you feel uncomfortable, intimidated, or excluded.

  • Unpleasant, inappropriate, or disrespectful communication.

  • Any behaviour that is inconsistent with the WTC Code of Conduct.

These concerns may involve an athlete, coach, parent, official, volunteer, committee member, or any other person involved with the club.

How to Raise a Concern

If your concern involves someone within WTC, we encourage you to speak with:

  • Your coach; or

  • Any member of the WTC Committee.

We understand that some situations can be difficult to discuss. If you are not comfortable speaking with your coach, you are welcome to approach any committee member directly.

If your concern involves a member of another athletics club, we encourage you to contact Athletics West. If you are unsure how to do this, or you would prefer support, please speak with WTC and we will help you through the process.

What Happens Next?

When a concern is raised, WTC will:

  • Treat the matter respectfully and, where possible, confidentially.

  • Listen to all parties involved and gather the relevant facts.

  • Review the matter with the appropriate committee members.

  • Determine the most appropriate course of action in line with the WTC Code of Conduct and Athletics West policies.

  • Take appropriate action where required and keep those involved informed where possible.

Our aim is to resolve concerns fairly, respectfully, and as promptly as possible while ensuring the wellbeing and safety of everyone involved.
