Terms and Conditions

By paying a registration fee a participant agrees to the terms and conditions of registration and acknowledges that playing sport involves an element of risk and will adhere to all aspects of competition. 

 

Registering a Team or Individual

To complete a registration for a team or as an individual to participate in a social sport competition, you can visit the Rev Sport page and select your chosen sport. All players within a registered team will be invited to register by their team manager and will be automatically allocated to their team.

  • All players must be registered to be eligible to play in the competition. 
  • Any unregistered players found to be taking the field of play will result in the team having a forfeit for that game.
  • Any player that is participating and not registered does so at their own risk and does not fall under insurance.
  • Teams that register as a QUT Student Team must be made up of 70% or more current QUT Students.
Disclosure of medical conditions – You warrant that prior to participating in the QUT Social Sport activity you:
  • Are and must continue to be medically and physically fit and able to undertake and participate in the QUT Social Sport activity.
  • Are not a danger to yourself or to the health and safety of others.
  • Are currently not experiencing any symptoms from a recent concussion and/or head injury and have been cleared to participate by a medical professional.
  • Are not presently receiving treatment for any condition, illness, disorder or injury which would render it unsafe for you to take part in the QUT Social Sport activity.

Waiting List

There are only a limited number of team and individual spots available each season. Teams and players that miss out on a spot may request to be placed on the waiting list. If a spot becomes available, teams and players on the waiting list will be offered a spot.  Waitlists are available through RevSport.

 

Team Names 

Team names must adhere to standards of respect, inclusivity, and community well-being. Management reserves the right to review and modify any team name that is deemed overtly offensive, inappropriate, or likely to cause distress or discomfort to other participants. 

 

Refunds

A refund will not be permitted if a team or individual:

  • Withdraws from the season after registration closes.
  • Withdraws from the season due to injury.
  • Withdraws from the season due to change of circumstances such as moving away.
  • Is suspended or removed from the competition due to misconduct.

A refund may be permitted if a team or individual:

  • Withdraws from the season prior to registration closing. 
  • Withdraws from the season due to extreme circumstances. The team or individual must submit a formal withdrawal letter to sports@qut.edu.au with a detailed explanation as to why they can no longer participate.

A refund or transfer credit will be offered to teams and individuals if a competition or season is cancelled due to unforeseen circumstances such as COVID. Refunds or credits are not applied for games cancelled due to weather unless a significant portion of the season has been cancelled.

 

Marketing & Promotions

Participants in our social sport competitions consent to their photographs and videos being used to promote QUT Sport. 

 

Privacy Statement

QUT Sport collects and stores participants personal details only for the purposes of administering our competitions. This information will not be disclosed to third parties without the participants consent, except to meet government or legal requirements.  

 

Attendance Register

The Team Manager is responsible for registering all players at the registration desk before the game starts every week to ensure all players are registered. Any player who has not signed in will not be able to play. 

 

Player Eligibility

Players must be registered on RevSport to be able to participate in our competitions. It is up to the Team Manger to check each member of their team is registered prior to the start of the season. Individual players are automatically registered online when they sign up.

Players must play a minimum of 3 games for that team during the grading and regular season rounds to be eligible to play finals. The Convenor will check the attendance register before the finals and any player that has not played at least 3 games will not be able to play.

Unregistered players will not be permitted to play. If a team fields an unregistered player, they will forfeit their game. Registered players may fill in for other teams if they are short on players so long as they fill out the attendance register and notify the Convenor before the game.

Minimum age for participation is 16 years at time of fixture.

 

Injuries

The officials may stop a game at any time to attend to an injured player. The game clock will not be stopped during regular season games however at the discretion of the Convenor may be for finals, depending on the severity of the injury. Should an injury result in less than half a game being played, the game will be deemed a draw, and each team will receive two competition points. 

 

First Aid

Each venue is equipped with a first aid kit and ice/instant ice. When an injury occurs during a game, the injured player or one of their teammates must notify the Convenor of the injury so first aid assistance can be provided, and an incident report completed. If an injury is severe, the Convenor will call an ambulance so the player can be assessed by medical professionals.  

 

Player Insurance

  • Participant or a witness is required to complete an Injury / Incident Report Form with the onsite Convenor before departing the venue on the day of injury.
  • A player may wish to submit an insurance claim to cover costs incurred from sustaining an injury while participating in a QUT Social Sport competition.
  • Participants can then contact sports@qut.edu.au for next steps. For general injuries, participants can contact insurance@qut.edu.au for any inquiries or to make a claim.

 

Player and Spectator Behaviour

Players must conduct themselves in a respectful manner towards their teammates, the opposition, and officials. Unsportsmanlike behaviour such as rough or forceful contact, derogatory language towards players or officials and intimidation will not be tolerated.

Team Managers must ensure their team plays within the spirit of the game. The Match Officials and Convenor have the right to send players off if they are behaving inappropriately and may ask them to leave the premises. It is up to the Match Officials to determine the period in which the player must sit off and whether the player can be replaced.

 

Injury & Incident Reporting

In the event of social sport injuries participants are to complete the Injury Report Form. Injury Reports submitted more than two day (2) after the injury took place will not be accepted. In the event of an incident, not relating in injury, that is not able to be initially settled by match officials the Team Manager may speak with the Competition Convenor. The Competition Convenor will then direct the Team Manager to complete the Incident Report Form

The Convenor or Match Officials may submit a formal complaint about a player or team that is not playing within the spirit of the game. QUT Sport Staff will review all complaints and may consult with the involved parties, convenors and QUT Sport staff. A decision will be made and the necessary action will be taken.

 

Disciplinary Procedure

Please refer to the QUT Sport Disciplinary Procedure.

 

Season Structure*

Semester one and two seasons run for 10 weeks. This includes 9 regular season rounds and a round of finals. Summer seasons run for 8 weeks including 7 rounds of regular season and a round of finals.  

 

Divisions*

Teams will be placed into skill-based divisions upon registration. Should the division requested be exhausted, teams will be allocated to the next available division. QUT Sport reserves the right to reallocate teams within the first 3 weeks of the season. Selection of desired division at registration does not guarantee placement in that division.

 

Grand Final*

Every team will play a finals game, with first and second playing a grand final and all other teams playing a placing game to finish off the season (eg. 3rd vs 4th, 5th vs 6th, etc.).

Grand Final: 1st vs 2nd in each division  

 

Fixtures

Players can view the fixtures on RevSport. 

Teams must be willing to play all game time slots between 5.15pm-10pm (Mon-Fri) and 2pm-8pm (Sunday). Game time preferences are not accepted, and we are unable to change game times throughout the season. Some Sport codes will have a later first round game time, please check season information when registering for your competition. It will not be taken into consideration when creating draws if players are playing for more than one team within the same competition to avoid clashes. 

 

Bye Matches

QUT Sport will do everything we can to avoid an uneven number of teams in a draw however they are sometimes unavoidable. When there are an uneven number of teams in a division a bye game will be included in the draw. If your team is scheduled for a bye, there will be no game played and the team will be awarded 3 competition points. Discounts, subsidies or refunds are not available to teams or individuals solely due to their division containing a bye match in the seasons fixtures schedule.

 

Competition Points

Win = 3 points

Loss = 1 point

Draw = 2 points

Bye = 3 points

Forfeit = -3 points

Forfeit Win = 3 points

 

Forfeits

If a team needs to forfeit their game, their Team Manager must complete the relevant forfeit form by 4.00pm on the same day of a weekday game, or by 1pm on Friday for games held on Sunday. All forfeits will receive -3 competition points and failure to provide the required notice or by not showing up to a fixture will result in loss of an additional -3 competition points and risk being pulled from competition.

Forfeited games will be scored as follows: 

Netball = 0-10

Touch = 0-5

Volleyball = 0-3

Football = 0-5

3X3 Basketball = 0-10

Water Polo = 0-5

Tennis = 0-10

 

Wet Weather

Outdoor sports may occasionally be cancelled due to wet weather or storms. A decision on each sport will be made by 4pm for weekday games and 12pm for Sunday games. Once a decision is made to cancel due to weather, that decision will not be retracted.

Team Managers will be notified if games are cancelled, and an alert will be emailed. It is the Team Managers responsibility to notify their teammates.

The 30/30 Lightning Safety Guideline – to be observed
When lightning is within 10km of the venue, play must stop and all participants and staff must take shelter. Appropriate shelter is inside an enclosed building or inside a car. There is a great app you can download called “My Lightning Tracker & Alerts” and can set a 10km radius of your location. If this is unavailable, when you see a lightning flash and there is a thunder clap within 30 seconds of the flash, it means the lightning is within 10km and shelter needs to be sought. To resume play, there is a minimum wait time of 30 minutes from the last observed lightning flash or from hearing thunder. All participants and staff need to be indoors during these wait times.

Every effort will be made to reschedule cancelled games during the season. In most cases, cancelled games will be rescheduled into a mid-semester break week. If for any reason we are not able to reschedule cancelled games, the result will be considered a draw, and teams will be awarded two competition points. Refunds or credits are not applied for games cancelled due to weather unless a significant portion of the season has been cancelled.

If half a round can be completed before the remainder is abandoned Win Ratio can be considered for overall season standings.

 

Uniforms

It is recommended that teams wear matching uniforms. If a team does not have a uniform, they must choose a team colour and wear that colour each week.  

Teams participating in our Basketball, Football and Touch Football competitions are encouraged to wear matching playing tops with numbers on the back so that players can be easily identified by the referees. At the very least, each team must choose a team colour and wear that colour each week. It is a good idea for teams to bring a backup shirt that is a different colour in case the opposition team wears the same colour.  If teams are in the same/similar colour the “away” team must wear bibs provided by convenors.

Teams participating in our Netball competitions must bring their own set of bibs, except for teams made up of individual players, as they will receive a set of bibs for the season. Bibs must be in good condition and have the positions clearly labelled on the front and back. If two opposing teams have the same-coloured bibs, we will provide one team with a different coloured set of bibs to borrow for the game. The bibs must be returned to the Convenor immediately after the game.  

Teams participating in our volleyball competitions are encouraged to wear a set of matching playing tops.  

 

Footwear

Players must wear appropriate enclosed footwear while participating in our social sporting competitions. The officials will check footwear prior to the start of the game and anyone who is not wearing appropriate footwear will not be able to play.   

Teams playing at the QUT Kelvin Grove field must not wear boots with metal tags. Moulded plastic football boots or runners are appropriate.  

Teams playing at the QUT Kelvin Grove stadium must wear non-marking rubber soles.

 

Shin Pads

Football players are encouraged to wear shin pads in our social football competitions.  

 

Jewelry

Players must remove jewellery prior to the start of the game. This includes rings, earrings, studs, necklaces, bracelets, watches, fitness bands or any other forms of jewellery. Players may use tape to cover piercings if studs cannot be removed but must seek approval from the convenor beforehand.  

 

Fingernails

The officials will check fingernails before the game starts. Any player with long fingernails will be required to trim them or cover them with tape. Players are permitted to wear gloves so long as they have been approved by the convenor beforehand.  

 

Glasses

Contact lenses or prescription sporting glasses are recommended for players with vision impairments as standard seeing glasses can easily fall off during the game. Wraparound style glasses are another good option.

 

Alcohol and Drugs

Players or spectators must not be under the influence of alcohol or drugs while participating in our competitions. Any player or spectator found to be under the influence will be removed from the premises immediately.

Sporting events under the auspices of QUT Social Sport

  • No participant will be permitted to compete in any QUT Social Sport event if they are suffering the obvious effects of alcohol. Any such person/s will be asked to leave the sporting arena. Refusal to do so will result in immediate expulsion from the match plus an automatic one match or equivalent (depending on the sport) suspension. Further disciplinary action may be taken if so desired by QUT Sport.
  • No alcohol is to be consumed at the competition venue by participants and personnel while a QUT Social Sport event is in progress. This applies to:
    • Participants who are competing in a current match/competition
    • Participants not competing in the sporting event but may be waiting to start their competition
    • Participants not competing in the sporting event who have finished their competition
    • Participants who have chosen to spectate and who are watching the competition from the sideline or in the vicinity of the field of play

 

Prizes

Grand Final winning teams that claim a discount voucher (where applicable) must use the voucher to register the same team into a QUT Social Sport competition. If a team made up of individual registrations wins a voucher, the entire team will have to stay together and use the voucher to register as a team for the next competition. 

  • Where the voucher is claimed after winning a Semester 1 competition, the voucher must be used for the next Semester 2 competition. 
  • Where the voucher is claimed after winning a Semester 2 competition, the voucher must be used for either the following Summer Sport season or the following years Semester 1 competition. 
  • Where the voucher is claimed after winning a Summer competition, the voucher must be used for the next Semester 1 competition.
  • If a discount voucher is not used in the subsequent competition as outlined above, it will expire and cannot be redeemed for a future competition. 
  • The discount voucher can only be used to register a team entry.
  • A discount voucher is unique, can only be used once, and is not to be shared with other teams/participants.
