PRIVACY INFORMATION STATEMENT

I understand Calisthenics Victoria (the organisation), together with my club, will use the data I have provided in my registration for the administration of the sport of calisthenics, in accordance with the objectives of the organisation and club. I acknowledge that the information will be held in confidence by the organisation and club and that I can access any personal information at any time if required. By agreeing to Privacy Statement I also acknowledge that if the required minimum information (name, date of birth and 1 form of valid contact details) is not provided, I am not permitted to participate in any aspects of the sport of calisthenics.

 

MEMBERSHIP COMMUNICATIONS

Please note that by registering with Calisthenics Victoria and your club you will be opted in to all membership communications. Please unsubscribe from the first communication if you do not wish to continue to receive these. 

 

POLICIES

As a member of Calisthenics Victoria I acknowledge that I am bound by the Calisthenics Victoria constitution and member policies and procedures, copies of which can be found on the Calisthenics Victoria website. 

 

REFUNDS & CANCELLATION

The Calisthenics Victoria Registration fee is a non-refundable fee. This fee represents the costs involved in administering the sport and for relevant insurance cover for all Calisthenics Victoria Members.  

Applications for a refund under extraordinary circumstances must be made in writing, stating the reason for a requested refund, and including any additional documentation to support the claim. Requests can be emailed to admin@calisthenics.asn.au. All applications will be considered, and the decision made by Calisthenics Victoria will be final. 

Any refund of a Calisthenics Vicotria Registration fee in these circumstances will include an administrative fee which will be deducted before the registration fee is refunded. In the event that a refund is processed, this amount will be refunded to the card on which payment was initially made.  

 

CODES OF CONDUCT

As a member of Calisthenics Victoria I acknowledge that I am required to abide by Calisthenics Victoria's codes of conduct applicable to me copies of which can be found on the Calisthenics Victoria website.

Sterling Members Code of Ethics

We, at Sterling, endeavour to provide a positive, safe and enjoyable experience for all our members. This can only be achieved with the cooperation of every family and athlete. To that end, all members are required to abide by the following Code of Ethics.

 

Financial Responsibility 

* I will pay all monies when they are due. If I wish to organise a different payment plan, I will request this of the Committee in writing.

* If I become 3 months in arrears without communication, I understand that I will be putting my/my child’s membership at risk.

Commitment to Sterling Pride 

* I will be an active participant in the drive for Sterling Pride in all aspects required of me.

* I will always represent Sterling in a positive manner whilst in public.

 Respectful Behaviour 

* I will not spread malicious gossip, innuendo or rumour, either within the club or externally.

* I will not degrade a parent, member or coach of Sterling in any way. This includes comments about attendance, team selection, weight, ability or financial circumstances.

* I will communicate respectfully in all forms—including face-to-face, email, group chats, messaging apps and social media—and will not engage in bullying, harassment, exclusion or negative commentary.

* I will treat all members, families and officials with respect and inclusivity regardless of age, ability, background or personal circumstances.

Child Safety & Wellbeing 

* I will support Sterling’s commitment to child safety by acting in a way that ensures the physical, emotional and psychological wellbeing of all children and young people, and I will follow Sterling’s child safe protocol’s at all times.

* I will advise my Section Coach of any injury, illness or wellbeing concern that may affect safe participation, and I will follow guidance provided to ensure my own health and safety.

Attendance & Participation 

* I will make every effort to attend all scheduled classes, rehearsals and competitions, and will notify my Section Manager or Coach promptly if I am unable to attend.

Constructive Communication & Conflict Resolution 

* If I have a problem with any aspect of Sterling (fees, classes, fellow members, studio, fundraising, etc.) I will approach the correct person—either my Section Manager, Section Coach or a Committee Member—so the matter can be discussed productively.

* I will not undermine my Section Coach’s authority and I will respect all members of the coaching team.

* If I have an issue with the coach or her coaching ethics, I will approach the coach herself, my Section Manager or the Sterling President to discuss it privately. I will not discuss the matter with other persons.

* I understand that my Section Coach is willing to talk to me when I have concerns, but I also recognise that the coach’s decision is final and will not harbour any grudges.

* I will follow Sterling’s conflict resolution processes and engage in constructive problem-solving.

 

Privacy & Social Media 

* I will not post photos of my teammates on social media without their consent.

* I will ensure that any “calisthenic-based” photos posted online promote positive aspects of the sport and show Sterling in a good light.

* I will respect the privacy and confidentiality of all members by not sharing private information, internal decisions or sensitive club matters outside the organisation.

Uniform, Equipment & Facilities 

* I will ensure the correct club jacket, pants and footwear are always worn when representing Sterling at competitions as detailed in the membership booklet.

* I will take care of club facilities, equipment and costumes, and will report any damage or safety concerns promptly.

* I will abide by all decisions made for my Section or the Club regarding items such as tracksuits, wigs, dance shoes, legtan, additional practices, competition arrival times and Ballarat accommodation arrangements.

Support for Club Operations 

* I will support fundraising efforts, working bees, sewing bees and general club activities whenever possible. Sterling understands that I may not be able to assist in all areas, but I will endeavour to help when and where my skills or experience are needed.

* I acknowledge and respect that all committee members and officials are volunteers who freely give their time for the benefit of the club.

Substance Use 

* I will refrain from alcohol, drugs or smoking/vaping while representing Sterling or when supervising children at any club activity or event.

Compliance & Updates 

* I will abide by the published CV Code of Behaviour (copy available on CV website).

* I acknowledge that the Code of Ethics may be updated periodically and agree to comply with any revised guidelines as communicated to members.

Breaches 

* If I am found to have breached any of the above guidelines, I understand that I may be asked to meet with the Sterling Executive Committee to explain my actions, and I agree to abide by any decision they may reach.
