Dear Valued Member,
We are pleased to announce that our Annual General Meeting (AGM) will be held on 25/7/2025 at 7:00pm at Coolamon Pavillion. This meeting is an important event for our organisation, and we encourage all members to attend.
All positions are declared vacant, and a member may nominate for one specified position of office holder of the association or to be an ordinary member.
A member who wishes to be considered for election to the committee at the annual general meeting must nominate for election by sending written notice of the nomination to the secretary by 27/6/2025. The written notice must include a written statement by another member in support of the nomination or use the attached nomination form.
Office Holder positions are President, Vice President, Secretary, and Treasurer.
In addition to the usual agenda items, we are proposing a change to our constitution. Specifically, we propose to amend item 32 (2) to allow nominations to be received 24 hours before the AGM, instead of the current 28 days. We believe this change will provide greater flexibility and encourage more participation in the nomination process.
Exact wording change:
From: "... must nominate for election by sending written notice of the nomination to the secretary at least 28 days before the annual general meeting."
To: "... must nominate for election by sending written notice of the nomination to the secretary at least 24 hours before the annual general meeting."
Also attached is a proxy form if you would like to vote for a nominated person for committee and/or the Constitution change but are unable to attend. Proxy forms must be received by 24th July 2025, 7:00pm.
