AUGC President

The AUGC President provides overall leadership and guidance for the club and Committee, including by;

  • Guiding the Committee’s decision making process.
  • Attending and Chairing monthly committee meetings.
  • Being a formal representative of the Club, particularly when meeting with AU Sports, SAGA, SAA, GFA or other related organisations.
  • Being the key point of contact with the Club.

AUGC Treasurer

The AUGC treasurer tracks the income and expenses of the club

  • Must be able to understand and use the current MS Access Database
  • Manage Flight Sheets, which includes:
    • Regular entry of Flight Sheets into the System
    • Archiving / Storing the original Flight Sheets
  • Manage User Accounts, which includes:
    • Processing Tick Sheets Quarterly (Q1, Q2, Q3 and Q4)
    • Entering Purchases and Payments into the System
    • Sending out monthly Accounts and Reminders
  • Manage the SAA Quarterly Launches and Levies Report (Q1, Q2, Q3 and Q4)
  • Manage regular 3rd Party payments, which include:
    • Insurance - Quarterly payments
    • Internode - Monthly payments
    • SAA - Quarterly payments
  • Produce Monthly Statements, which include the following:
    • Financial Report
    • Aircraft Hours Report
    • Bad Debtors Report
  • Mentor and train the following club members:
    • The new incoming Treasurer
    • The Assistant Treasurer
  • Develop an electronic Flight Sheet for EOD processing
  • Investigate and implement a Cloud based Accounting Package and DB System (such as Access)
  • Glossary of Terms
    • EOD    End of Day
    • Q1        1st January     to 31st March
    • Q2        1st April     to 30th June
    • Q3        1st July         to 30th September
    • Q4        1st October     to 31st December

AUGC Secretary

The AUGC Secretary supports the Committee by;

  • Arranging meetings (usually these occur once a month, and may be online or in person).
  • Attending monthly committee meetings, and being involved in discussions and decisions taking place.
  • Taking meeting minutes, storing these records appropriately, and distributing the minutes to committee members.
  • Taking part in the decisions that are made by the committee, and contributing to the decision- making process as required.
  • Being a point of contact for the club, in co-ordination with the President.
  • (If requested by the president or the committee); Representing the club at meetings with other organisations (eg AU sports, SAA, Grant organisations)

AUGC Social Convenor

The AUGC Social Convenor supports a sense of community within the club members by;

  • Arranging social events. These may include dinners, camping trips, sporting activities such as bowling, go-karting, or any other social activity.
  • The purpose of these events is to foster a sense of community among club members. It may also encourage engagement with club members who have lapsed, are not able to attend the airfield frequently, etc.
  • Communicating the proposed activities to the AUGC Committee.
  • Communicating event details to all AUGC members.
  • There are no specific requirements on the type of activity or the frequency of activities.
  • Informal discussions with club members (including committee members) may provide guidance, inspiration, or specific ideas for suitable activities.

AUGC Fifth Member

The 5th member’s role is to attend committee meetings and generally support the functioning of the committee. This role is ideal for people who might want to learn how the committee works before nominating for other committee positions in the future.

Responsibilities include;

  • Attending monthly committee meetings, and being involved in discussions and decisions taking place.
  • Supporting other club functions where required and if requested, for example by taking minutes if the secretary is unavailable, attending meetings, being involved as a club representative if others are unavailable, etc.
  • Taking part in the decisions that are made by the committee, and contribute to the decision- making process as required.
  • (If requested by the president or the committee); Representing the club at meetings with other organisations (eg AU sports, SAA, Grant organisations)
