REGATTA MANUAL – PORTFOLIO IDENTIFICATION

1. Social and Entertainment Program Welcome night

2. Clothing and Merchandise – Mirror Class have designed a golf T shirt by Xtreme Workwear – Steve H

Logo Design - this has been done by Mirror Class Worlds

Goodie Bags - Mike Bennett (Sophie Thompson will contact Woza Aids Centre in Hillcrest with regards to beaded mementos)

3. Jury – Thomas Funke – accommodation will have to be sourced for the Jury team.

4. Measurement and Technical - IMCASA – Craig Latigan will have a team. The area for measurement etc will be determined by where the containers are unpacked. RH advised that Print Expression will be able to print the boat number to be on the JIB only – the same number will be used for the dolly.

5. Parking for Boats – Myles White – Ethekwini

6. Chandlery & repairs - Craig Latigan (whole van) Craig Millar, Ullman, Norman Hancock on standby

7. Beach master – Mike Bennett (confirm if there is a Fishing Event at the same time – they must be briefed of our event and ski boats to give consideration to the Mirrors)

a. - team of helpers who will need identifying gear (bear in mind the Sail Africa students) – MB will arrange for his team. MB will contact Richard Bates regarding the assistants he used.
b. – Tally Board - Eric Atherstone
c. – Flag Pole
d. – Sand control (blower, brooms, spades)
e. – Dolly parking & ID (same Number on Jib and Dolly)
f. – Denver Kruger – boat wash bay / wash tanks for clothing / drying racks

After discussion, it was felt the boats don’t need washing racks but just hose pipes if they are going to stay on the beach at night. There is a possibility Build It might offer some sponsorship

8. Results and Admin – Race Office – Gill Campbell

a) Results – capture on Sailwave – Rob Tarboton/Malcolm Tiley/Gill – to go out every day – Leanne Tiley will send out a daily report.

b) Registration team (reminder competitors are to supply proof of insurance)

c) Wifi etc. to be arranged

d) There will need to be an office facility at PYC

e) Entries are online and a separate bank account at FNB under PYC name has been set up.

9. PA System – general announcements, plus social functions. Robin Hulley – a new PA system has been bought and RH will set up and secure safely. Cordless microphone to be set up for outside use. MB has a loudhailer he will use on beach.

Another sound system is required for the main club.

10. Notice Boards required at both Clubs – no notices to go up without prior approval by Gill

11. Security – George Annandale - extra security required at night from 6pm to 6am. Ant Howes will investigate.

12. Accreditation for competitors and support team. Thought needs to go into the various options – possibly wristbands for the competitors and identifying shirts for workers. Mr Price has red and white striped t shirts in stock . Ed to investigate the possibility of digital identification.

13. Notice of Race and Sailing instructions – Thomas Funke and Kevin Bingham. Entry forms are online.

14. Refreshments afloat for competitors. Mike Bennett will approach Aquelle for sponsored water – arrangements to be made to have this available onshore and offshore.

15. Regatta Program. A provisional programme has been loaded on the website – this will be adjusted as details are finalised. Thomas Funke

16. Publicity and Press Releases - Sophie Thompson

17. Insurance cover for visiting sailors. Ant Howes will investigate this – he will contact Club Marine Insurance – perhaps they could be a potential sponsor.

18. Race Support teams and rosters. AH advised that a new member, Charl Randall, is very keen to assist, and could possibly be responsible for putting the teams and roster together. Ant will set up a meeting with Myles White. MW is happy to assist with refuelling. Caltex, on the Esplanade, are very good as they fetch the containers and then deliver the fuel to the marina. RH has agreed to skipper the support boat at the start end pin – a member of the jury will be on this boat at the pin.

19. First Aid. Ant Howes has this in hand.

20. Bridge boat and briefings – Kevin Bingham – there are a number of volunteers for the Bridge boat, which will be Lynton Allsop’s “Nonsense”.

a) FLAGS – KB has requested a new set of flags for the event. He will order from Craig Millar

b) MARKS – only three marks are required for this event. AH advised that new marks have been received – however they do not stand upright but lie parallel to the water – possibly because they are tall and thin. These will not be suitable for use at the Mirror Worlds. AH will go back to the manufacturer and discuss how this problem can be rectified.

c) Bridge crew will be finalised at a later stage.

21. Catering – George Annandale. The three main functions will be outsourced and will need to be provided free for all participants. The costing for these meals will be required.
