About Water Polo NSW

Water Polo NSW is the governing state body for the sport of water polo.  Our primary purpose is to grow, develop and nurture NSW’s most accessible sport. We are a not-for-profit organisation, responsible for the governance, events, competitions, sport development, rules, club services and communications throughout the state. We service over 50-member clubs and over 7,000 participants and lead the sport and business of water polo for the benefit of the Water Polo NSW community.

Purpose of Position

The Member Services, Communications, and Administration Coordinator plays a vital role in planning, organising, and executing various services and programs to support the strategic plan. This position focuses on providing exceptional member services across all platforms to engage with the Water Polo NSW community The coordinator is essential in creating a positive experience for participants, families, coaches, officials, volunteers, spectators, stakeholders, and fans.

Utilising strong operational and administrative skills, the coordinator assists in creating, and delivering the organisation’s communications plan and the management of the Water Polo NSW office administration. The coordinator oversees the successful coordination and execution of the Annual General Meeting,

Key to success in this role is building strong networks and relationships with the Water Polo NSW community, partners, and sponsors. The position may require some travel throughout NSW and occasional out-of-office hours and weekend work. Based at Water Polo NSW Offices the role offers flexibility to work from home as agreed with the Manager. The position reports to General Manager Business and Participation.

Responsibilities

  • Promote and role model WPNSW values of Fun, Bold, Connection, Respectful and Team Spirit and contribute to positive organisational culture and continuous Improvement.
  • Provide quality customer service to members and stakeholders, ensuring a respectful and helpful response is provided to all enquiries.
  • The successful delivery of events such as the Annual General Meeting, including logistics, scheduling, documentation, and resourcing.
  • Work collaboratively with all staff to deliver the WPNSW Strategic objectives.
  • Be responsible for Water Polo NSW website, social media platforms and enquiries.
  • Support the creation of the news stories in line with the communications plan and publish on approved social media platforms and the website.
  • Coordinate the monthly newsletter content ready for publishing.
  • Accurately enter, update and maintain data in WPNSW’s databases.
  • Provide administrative support to WPNSW’s staff and management as required.
  • Coordinate the uniforms for the WPNSW’s staff and representative teams.
  • Successfully develop strong networks and connections with Water Polo NSW community.
  • Be the initial point of contact to assist to problem solve any challenges that arise within Clubs and Associations
  • Successfully balance community expectations, resources and WPNSW requirements.
  • Prepare reports and written materials relating to areas of responsibility.
  • Assist in any other duties as directed by the General Manager Business and Participation, General Manager Sport Operations and CEO.

Essential Requirements

  • Experience working in member servicing, communications, and administration.
  • Demonstrated project management skills.
  • Demonstrated delivery of a high-level customer centric approach with a strong focus on communication and ability to negotiate positive outcomes.

  • Strong and adaptable communication skills with the ability to drive network engagement and to gain confidence and respect with key stakeholders.
  • Current Working with Children Clearance (WWCC).
  • Current NSW drivers license and access to a personal vehicle.

  • Strong experience in adapting to changing priorities and shifting timelines
  • Ability to communicate respectfully, clearly and succinctly, including attention to detail when writing and good listening skills when communicating with a wide range of stakeholders, members, managers and colleagues

  • Demonstrated experience using information and communication technology, software and programs for tasks including word processing social media and websites
