This role is based at WPNSW Offices in Sydney a minimum of 2 days a week, with flexibility to work some days from home as agreed with the manager.

The primary purpose of the Events and Regional Development Coordinator is to plan, organise and execute various events, services, and programs to deliver on WPNSW’s strategic plan. With a key focus on fostering community engagement through exceptionally delivered events, the Events and Regional Development Coordinator will play a critical role in advancing participation and nurturing a positive experience for participants, coaches, officials, volunteers, spectators and stakeholders. Drawing upon strong operational abilities, the Events and Regional Development Coordinator administers logistics, and coordinates and implements the delivery of championships and programs across NSW, facilitating their success.

The Events and Regional Development Coordinator takes primary oversight of the smooth operation of various office administrative tasks, ensuring enquiries are responded to in a timely manner. The Events and Regional Development Coordinator will also assist in the creation of a regional services plan, in conjunction with the Regional Working Group, to better service the region’s needs. Key to success in this role is building networks and creating strong relationships with our regional water polo communities and Associations to successfully deliver on an agreed regional service plan. 

Accountabilities

  • Provide quality customer service to members and stakeholders, ensuring a respectful and helpful response is provided to all enquiries, facilitating timely access to WPNSW people, services and information
  • Plan and coordinate all aspects of events, including logistics, scheduling and resourcing
  • Develop event concepts and themes aligned with WPNSW’s goals and objectives
  • Identify and book event venues
  • Coordinate with internal and external stakeholders to ensure smooth event execution
  • Coordinate participant communication, including event details, schedules and updates
  • Administer on-site event operations, including bump-in and bump-out, signage and equipment
  • Accurately enter, update and maintain data in WPNSW’s databases and systems and contact lists
  • Provide administrative support to WPNSW’s staff and management, including Website, newsletter, and social media channels
  • Ensure all telephone, email and social channels enquiries are responded to in a timely fashion
  • Deliver on the agreed objectives in the regional services plan once finalised
  • Successfully develop strong networks and connections with regional communities and Associations
  • Be the initial point of contact to assist to problem solve any challenges that arise within regional water polo communities
  • Support the Competitions Coordinator to support delivery of competitions when needed
  • Mentor any students who are placed with WPNSW for events and regional services
  • Balance community expectations, resources and WPNSW requirements
  • Develop, implement and review policies, manuals and / or specifications for the sport and facilities, services and programs
  • Prepare reports and written materials relating to areas of responsibility
  • Promote and role model WPNSW values of Fun, Bold, Connection, Respectful and Team Spirit and contribute to positive organisational culture and continuous improvement
  • Assist in any other duties as directed by the General Manager Sport and Operations and CEO

Key Selection Criteria

  • Demonstrated ability to plan, organise, prioritise and deliver events and member services
  • Proven effective customer service, responding quickly to needs and applying a problem solving approach to challenges whilst working under broad supervision
  • Strong experience in adapting to changing priorities and shifting timelines
  • Ability to communicate respectfully, clearly and succinctly, including attention to detail when writing and good listening skills when communicating with a wide range of stakeholders, members, managers and colleagues
  • Interpersonal skills that can be adaptable to respectfully communicate in an appropriate way to each audience
  • Demonstrated experience using information and communication technology, software and programs for tasks including word processing and websites
  • Financial skills to prepare and manage event budgets
